Before you cancel Notion.
A deleted Notion workspace is gone from Notion's servers 30 days after the request, and a full export reaches only the pages the person exporting can see. Who can export, the 7-day download link, and how far back version history goes on each plan.
Every claim below restates Notion’s own documentation (8 pages), with the passage it rests on. Re-checked against the live pages on October 29, 2026.
What happens to the data when you cancel Notion
When a workspace owner deletes a Notion workspace, all content becomes inaccessible at once, and 30 days after the deletion request it is deleted from Notion's servers and can no longer be recovered.
Plans: all
Notion’s words
Workspace deletion: A workspace can be deleted at any time from the workspace settings menu. Upon requesting to delete a workspace, all content will immediately become inaccessible. After 30 days, the content will be deleted from our servers and can no longer be recovered.

If a workspace is deleted by mistake, Notion support can restore a snapshot of the content from backups covering the past 30 days, but someone has to contact them.
Plans: all
Notion’s words

Deleting a workspace does not stop the bill right away: the subscription is canceled at the end of the billing period and does not renew.
Plans: paid plans
Notion’s words
Deleting a workspace doesn't cancel a subscription immediately. It's canceled at the end of the billing period, and the subscription doesn't auto-renew.

After canceling, the workspace keeps all paid features until the end of the billing cycle; if a payment fails, Notion may retry it up to 8 times within the next month, and if it still has not succeeded the workspace is restricted to limited access for a period of time before being downgraded to the Free plan.
Plans: Plus, Business, Enterprise
Notion’s words
After you cancel, you’ll still have access to all the paid features until the end of your billing cycle. ... Your account email will be notified after each failed payment. Payments may be retried up to 8 times within the next month. After this, if the payment did not succeed, your workspace will get restricted to limited-access for a period of time before being downgraded to the Free plan.

Under Notion's business terms, once the agreement ends Notion keeps the data available for electronic retrieval for 30 days, after which it has no obligation to store it and may delete it.
Plans: customers on the Master Subscription Agreement (organizations; personal use is under separate terms)
Notion’s words
Upon any termination of this Agreement, Notion will make all Customer Data available to Customer for electronic retrieval for a period of thirty (30) days. After such period, Notion will have no obligation to Customer to continue storing such Customer Data and may delete all Customer Data pursuant to its data deletion processes as described in the DPA.

Who can export what, by plan
Only workspace owners can run Export all workspace content, because it sits in workspace settings that only owners can open.
Plans: all
Notion’s words
Find and select Export all workspace content. ... Only Workspace owners can access these workspace settings.

A full workspace export includes all pages the exporter can access plus uploaded files, but it leaves out pages the exporter cannot see, such as other members' private pages, unless an Enterprise admin first grants access through content search, and teamspace settings can exclude more.
Plans: all (content search is Enterprise only)
Notion’s words
You can export all your pages as HTML, Markdown, or CSV (for databases), along with any files you've uploaded, too. Pages that the exporter doesn't have access to, such as private pages of other users, will not be included in the export. Workspace admins on the Enterprise Plan can give themselves and others access to specific pages using content search, so that those pages can be included in future exports. Some content also may not be exported based on teamspace settings.

On the Enterprise plan, workspace owners can turn on Disable export to stop members from exporting pages.
Plans: Enterprise
Notion’s words
Disable export: Don't let members export pages. This ensures that all your data stays in Notion rather than having different versions saved as Markdown or CSV.

What can stop or limit an export
The workspace export arrives as an emailed download link that expires after 7 days, and the export can take up to 30 hours to process.
Plans: all
Notion’s words
You'll receive an email from Notion with a link to download your files. This link will expire after 7 days. Exports can take up to 30 hours to process, depending on the size of the workspace.

A full workspace export only works on desktop or web, and re-uploading it will not instantly recreate the workspace.
Plans: all
Notion’s words
You can only export your entire workspace on desktop or web. You can’t instantly recreate your workspace by reuploading your exported workspace content.

Very large workspaces can fail to finish a full export, and Notion's workaround is to export top-level pages in smaller batches with subpages included.
Plans: all
Notion’s words
For particularly large workspaces, the Export all workspace content function may have some trouble completing the export. We're investigating this issue and hope to have a resolution soon. As a temporary workaround for this issue, you can export in smaller batches:

What the export looks like
The workspace export holds pages as HTML or Markdown, databases as CSV, and uploaded files, with an index.html sitemap linking the exported pages.
Plans: all
Notion’s words
You can export all your pages as HTML, Markdown, or CSV (for databases), along with any files you've uploaded, too. ... A sitemap (index.html) is included the export to help you navigate the exported workspace. The list items in the sitemap are locally linked to the exported pages in HTML and Markdown formats.

Notion is removing whole-workspace PDF export, rolled out gradually through August 31, 2026, while HTML, Markdown and CSV workspace exports and single-page PDF exports remain.
Plans: Business, Enterprise (the plans that had workspace PDF export)
Notion’s words
Note: The option to export workspace content as a PDF is going away. This change will be rolled out to workspaces gradually between now and August 31, 2026. You can still export workspace content as an HTML, Markdown, or CSV file, and export individual pages as a PDF.

What is deleted while you still pay
Deleted pages stay in Trash for 30 days, are then permanently deleted from Trash, and 30 days after that become inaccessible to everyone, even workspace owners; only Enterprise owners can change these windows.
Plans: all (Enterprise can customize)
Notion’s words
By default, pages will remain in Trash for 30 days before they are permanently deleted from Trash. Once pages are permanently deleted from Trash, they are retained for 30 days before they become inaccessible to all users, even workspace owners. Enterprise Plan workspace owners may customize these settings.

Page version history only reaches back 7 days on Free, 30 days on Plus and 90 days on Business, so older versions of a page cannot be restored on those plans.
Plans: Free, Plus, Business (Enterprise unlimited)
Notion’s words
If you're not on the Enterprise Plan, a more limited history of changes made to a page is available. You can view and restore past versions of any Notion page going back: 7 days if you're on a Free Plan. 30 days if you're on a Plus Plan. 90 days if you're on a Business Plan. Any number of days if you're on an Enterprise Plan.

What Notion’s pages do not say
- Notion's help pages we read give no deletion timeline for a workspace that is canceled or downgraded for non-payment but never deleted.
- Notion's own pages disagree on whether any plan can still export a whole workspace to PDF.
- Notion's pages disagree on whether a deleted workspace can come back: the page on deleting a workspace calls it permanent, while Notion's help pages also describe support restoring a snapshot from backups covering the past 30 days.
Those records are worth money before they are deleted.
