Before you cancel Zendesk.

Zendesk starts an irreversible deletion 90 days after an account is canceled, and data exports stay switched off until the account owner asks Support to turn them on. Which plans can export, what each format leaves out, and the size limits.

Every claim below restates Zendesk’s own documentation (7 pages), with the passage it rests on. Re-checked against the live pages on October 29, 2026.

What happens to the data when you cancel Zendesk

  1. The company may export its Zendesk data during the subscription and for 30 days after it ends, except data already deleted under Zendesk's documentation and Service Data Deletion Policy.

Plans: customers under the Zendesk Customer Agreement (effective August 1, 2025 for new customers and September 1, 2025 for existing customers); customers buying through a reseller are under different terms

    Zendesk’s words
3.4 Export of Service Data. During and 30 days after the Subscription Term, Customer may export Service Data, except for Service Data that: (i) has been deleted according to the Documentation, including the Service Data Deletion Policy; (ii) was created in violation of this Agreement; or (iii) is legally restricted. Zendesk is not obligated to maintain or provide deleted Service Data.

  2. For a self-service account, canceling in the middle of a billing cycle keeps the account usable until the cycle ends, when the cancellation takes effect (for sales-assisted accounts, cancellation follows the subscription term instead); after cancellation nobody can sign in and the account data is deleted under the Service Data Deletion Policy.

Plans: Suite Team, Growth, Professional, Enterprise, Enterprise Plus; Support Team, Professional, Enterprise

    Zendesk’s words
After an account is cancelled, you can no longer sign in to your account and your account data will be deleted in accordance with the Service Data Deletion Policy. [...] If you cancel in the middle of a billing cycle, you can continue to use the account until your billing cycle ends. After your billing cycle ends, the cancellation takes effect. [...] Cancellations for sales-assisted (managed) accounts will be linked to your subscription term, regardless of your billing cycle.

  3. Unless the policy notes otherwise, 90 days after an account is canceled or terminated Zendesk begins an automated deletion that cannot be reversed; once it begins, ticketing system data (excluding Agent Workspace functionality) is deleted on a 40-day timeline for ticket data, user data and attachments, and backups on a 130-day timeline.

Plans: Zendesk Suite and Support ticketing (policy effective June 3, 2026 for new customers and July 3, 2026 for existing customers); other products such as Live Chat and Sunshine Conversations have their own timelines in the same policy

    Zendesk’s words
Unless otherwise noted below, ninety (90) days after your Account for one of the Services listed below is canceled or terminated; or, except as noted below, nine (9) months after your trial has ended for one of the Services (assuming that you have not purchased a subscription to that Service), an automated process will begin that permanently deletes your Service Data for the canceled Service in accordance with the timelines set forth in the tables below. Once commenced, this process cannot be reversed and Service Data will be permanently deleted. [...] Ticketing System Functionality (excluding Agent Workspace Functionality) Structured Data Description Timeline for Deletion (after deletion process begins) for Cancellation, Termination or Migration Ticket Data 40 days User Data 40 days Attachments 40 days [...] Ticketing System Functionality, Help Center Functionality, and Community Forum Functionality Unstructured Service Data Description Timeline for Deletion (after deletion process begins) for Cancellation, Termination or Migration Backups 130 days

  4. Within 90 days of cancellation the account owner can have the account reactivated on request, and Zendesk then bills for the amount owed from the time of cancellation to the present billing period. A canceled account loses access to its data; to get it back, the company asks Zendesk Customer Support for a temporary reactivation, and data exports are available only on specific plans and must be enabled on the account.

Plans: all for reactivation; data exports only on specific plans, once enabled on the account

    Zendesk’s words
Yes, if the account is reactivated within 90 days. Within those 90 days, your account owner can reactivate the account upon request. If reactivated, Zendesk bills the account for the amount owed, from the time of cancellation to the present billing period. [...] When you cancel your account, you lose access to your data. [...] Contact Zendesk Customer Support to request a temporary account reactivation of your cancelled account. [...] Data exports are available from specific plans and require to be enabled on the account.

What can stop or limit an export

  1. Data exports are not enabled by default, and the account owner must contact Zendesk Customer Support to enable them before the account's JSON, CSV and XML export tools can be used.

  2. The emailed download link stays valid for at least three days, and an export can take anywhere from a few minutes to a day or more.

Plans: Suite Growth, Professional, Enterprise, Enterprise Plus; Support Professional, Enterprise

    Zendesk’s words
When the export is complete, Zendesk sends you an email containing a download link. Clicking the link downloads a zip file containing your JSON, CSV, or XML files. The larger the export, the more files you can expect the zip file to contain. The download link is valid for at least three days. [...] Depending on the requested export date range and your account's level of ticket activity, the export process can take anywhere from a few minutes to a day or more.

    support.zendesk.com, read October 29, 2026

  3. XML exports stop at 500 MB, roughly 200,000 tickets, and a ticket holding more than 1 MB of data loses its comments in the JSON export and is left out of the CSV export.

Plans: Suite Growth, Professional, Enterprise, Enterprise Plus; Support Professional, Enterprise

    Zendesk’s words
XML exports can have a maximum file size of 500MB. This translates to roughly 200,000 tickets. [...] If a single ticket has more than 1 MB of data, the comments are not included in the JSON file. [...] If a single ticket has more than 1 MB of data, the ticket is excluded from the report.

    Zendesk’s words
Deleted tickets appear in a Deleted tickets view for 30 days. After that time, they are automatically permanently deleted. [...] If a ticket is in an archived state (greater than 120 days since marked as solved) before being deleted, it will not display in the deleted tickets view.
